Events Refund and Cancellation Policy
These policies apply to all EICF events, memberships, publications and goods, and form an integral part of the contractual conditions accepted when purchasing any EICF service.
- Events – Refund & Cancellation Policy
1.1 Cancelling a Delegate Registration
- Early Bird Fees are non-refundable.
- Standard Fees are eligible for:
- 100% refund if cancellation is received at least 8 weeks prior to the Event start date.
- 50% refund if cancellation is received at least 6 weeks prior to the Event start date.
- No refund shall be granted for cancellations received within 6 weeks prior to the Event.
- Any bank transfer or transaction costs associated with the refund shall be borne by the client requesting the refund.
1.2 Cancelling an Exhibition Booth
- No refunds shall be granted for cancellations received within 14 weeks prior to the Event start date.
- Any bank transfer or transaction costs associated with refunds shall be borne by the client requesting the refund.
1.3 Refund Method – Expired or Changed Payment Card
- Refunds shall be processed to the original payment card used at the time of purchase.
- If the card has expired or is no longer valid, the refund will be made via bank transfer, and transaction costs will be deducted.
1.4 Refund Timing
- Once a refund has been formally acknowledged by the EICF, it may take up to 7 working days to appear in the participant’s card or bank account. (Bank processing times may vary depending on institution and country.)
1.5 Event Cancellation by EICF
- EICF AISBL reserves the right to cancel an Event due to commercial, organisational or force majeure reasons.
- In such circumstances, all fees already paid for attendance shall be refunded.
- No additional compensation shall be due for consequential damage, loss of revenue or similar claims arising from the cancellation.
- EICF AISBL shall not refund any external costs incurred by the participant, including but not limited to:

- transport or flight bookings,
- hotel reservations,
- visa arrangements,
- or any related expenses.
- Participants are advised to consider:

- flexible or cancellable travel/accommodation rates, and/or
- Event cancellation insurance.

2.1 Refusal or Cancellation by EICF
- EICF reserves the right to refuse or cancel a new membership or a membership renewal. In such cases, the registrant will receive a refund.
2.2 New Membership Cancellations
- Each membership payment includes a non-refundable €20 administration fee.
- New (initial) memberships cancelled within 30 days of registration are eligible for a full refund minus the €20 administration fee.
- Cancellations received after 30 days are not eligible for refund.
2.3 Membership Renewals
- Membership renewals do not qualify for refund.
- Any intention to cancel a renewal must be communicated before year-end (31 December).
2.4 Additional Conditions
- Any benefits, discounts, documents or incentives received as part of membership must be cancelled, returned or suspended upon refund.
- All refund requests must be submitted by the registrant or the original cardholder.
- Refunds will be credited back to the original payment card used for the transaction.
- These refund conditions apply to all EICF memberships.
- Publications – Refund & Return Policy
- No refunds or returns are available for EICF Publications, whether physical or digital.
- Goods – Refund & Return Policy (EICF Store)
4.1 Return Period
- Goods purchased via the EICF online store may be returned within 30 days of acquisition.
4.2 Condition of Returned Goods
- Goods must be returned in their original packaging and condition.
- Upon satisfactory inspection, a refund will be granted.
4.3 Refund Method
- All refund requests must be made by the buyer or original cardholder.
- Refunds will be credited back to the original payment card used for purchase.
- These conditions apply to all EICF store goods, returns and refunds.
